Banten Provincial DPRD Secretariat Deepens Digital Archives Governance at IPB University

IPB University welcomed a working visit from the Secretariat of the Regional House of Representatives (DPRD) of Banten Province. The visit focused on a comparative study regarding the strengthening of digital archives governance and the management of vital records within the governmental institution of the Banten Provincial DPRD Secretariat.

The delegation, consisting of archivists and archive management staff from the Banten Provincial DPRD Secretariat, was directly received by the Chairman of the Institute for Information Management and Digital Transformation (LMITD) of IPB University, Ir Julio Adisantoso MKom, accompanied by the Assistant for Digital Archives and Museum Management, Dr Adisti PP Hartoyo.

In his remarks, Julio highlighted the importance of archive modernization in the era of digital transformation. He emphasized that IPB University remains committed to developing an archival system that is not only physically secure, but also adaptive to information technology.

Dr Adisti presented IPB University’s strategy in managing archives and transforming them into information accessible to the public, particularly in relation to the management of vital records with high legal and historical value, as well as the implementation of an efficient digital archival system.

“Archive management at IPB is directed toward supporting the availability of fast and accurate information. Digital transformation is not merely about converting physical records into digital form, but also about preserving the integrity of the data,” said Dr Adisti during her presentation.

Following the discussion session, the Banten Provincial DPRD Secretariat delegation was invited on a tour to directly observe archival practices at IPB University. The agenda began with a visit to the archive processing room, a facility used to process all archives acquired from faculties, schools, and institutions within IPB University.

The delegation then proceeded to the IPB Archive Exhibition, a visual exhibition space that presents the history of IPB University’s transformation from a rubber plantation into an academic center through static archives managed in an interactive manner.

The visit concluded with a tour of the storage facilities at Archives Center 1 and Archives Center 2. The Banten DPRD Secretariat team directly observed the standards of IPB University’s archival depot infrastructure, ranging from the automatic regulation of temperature, humidity, and lighting through an internet of things (IoT) system, storage techniques (shelving), digitization of cartographic and architectural archives, digital archive management through E-Office, to document security systems designed to ensure long-term archival preservation.
